Copilot for Microsoft 365 is your everyday artificial intelligence (AI) companion, meant to bring the power of generative AI to work and life.

We are excited to announce the launch of Copilot for Microsoft 365 at the University of Miami.

Copilot for Microsoft 365 is an innovative tool designed to enhance productivity and streamline workflows by integrating seamlessly with Microsoft 365 applications.

Copilot for Microsoft 365 is now available for full-time faculty members and full-time staff members. With Copilot, you can draft emails, create documents, summarize important information, and even generate creative content such as poems and stories. Offering Copilot to our faculty and staff will allow us to gather valuable feedback and ensure that Copilot meets the unique needs of our University community.

Opt-In to Copilot for Microsoft 365 Opt-Out of Copilot for Microsoft 365

Important: To opt-in, toggle on the opt-in slider, and then click the "Submit" button.
You will receive an email confirmation once your request has been received.

Note: Once your Copilot for Microsoft 365 license is enabled, there may be a delay of up to 72 hours before Copilot is visible within all of the Microsoft 365 applications.

Please note that Copilot for Microsoft 365 applications is distinct from Copilot on the Web. While all University of Miami users currently have access to Copilot on the Web, access to Copilot for Microsoft 365 is being implemented in a phased approach targeting specific communities within the University.

  • What type of data can I put into Copilot for Microsoft 365? Will it be protected?

    The University of Miami's Copilot AI tool uses the same data protection environment as other Office 365 tools—including email, SharePoint, OneDrive, Excel, Word, and PowerPoint—and is covered by the Business Associate Agreement (BAA) between the University of Miami and Microsoft.

    It is imperative that all users adhere to the following privacy and security protocols:  Users must ensure that any personally identifiable information used with Copilot is identified using the minimum necessary standard.

  • How does Copilot handle sensitive information like HIPAA, PHI/PII, FERPA, GDPR, and GOBA for students?

    Copilot adheres to strict privacy and security standards, including HIPAA, PHI/PII, FERPA, GDPR, and GOBA for students. A green shield icon indicates that your information in Copilot is as secure as any other data stored on SharePoint.

  • How does Copilot for Microsoft 365 work, and are there any limits on chat length or file uploads?

    Copilot for Microsoft 365 uses artificial intelligence (AI) to help with tasks like writing, summarizing, and organizing information.

    • Chat Limits: You can chat with Copilot as much as you need! While there aren’t strict limits, usage may be capped at 10 sessions per user every 24 hours across all agents in a tenant.
    • File Upload Limits: You can upload files up to 10 MB each, with a total daily limit of 2 GB.

  • Are there limitations for the email summarization, drafting, and coaching capabilities with Copilot in Outlook?

    Copilot scenarios in Outlook are only available on your primary University of Miami mailbox and not with shared, archived, group, or delegated mailboxes. With Coaching by Copilot, your mail draft needs to be at least 100 characters to use the Coaching capability. There’s no limit on prompt length when using Draft with Copilot.

  • Copilot in Excel lags sometimes. How can I improve performance?

    If you're experiencing delays, here are a few things to keep in mind:

    • Table Size: Copilot works best with Excel tables up to two million cells. Larger tables may take longer to process.
    • No Data Limits on Certain Features: Skills like formula column suggestions, highlighting, sorting, and filtering don’t have size limits, so they should work smoothly.
    • File Location: Make sure your file is saved in OneDrive or Microsoft 365 SharePoint with Autosave turned on—Copilot won’t work otherwise.

  • Why aren't files showing up when using Copilot in Word, PowerPoint, or Excel on the web?

    If Copilot isn't finding or retrieving files, it might be because third-party cookies are blocked in the browser. These need to be enabled for Copilot to access and reference files. 

    To fix this, check your browser settings and allow third-party cookies.

  • How does Copilot's response vary based on the application being used?

    Copilot's responses are tailored to the application you are using. This means that the intent and type of response you receive may differ depending on whether you are using Copilot in Word, Excel, Teams, or other applications.

  • Why do responses and files from Copilot vary, even when using the same prompt?

    Copilot's responses can differ based on a few key factors: 

    • Data Access Permissions: Copilot pulls information from Microsoft 365 (e.g., emails, chats, documents, etc.) based on what each person has permission to see. If access levels differ, the responses will too. 
    • User Context: Copilot tailors responses based on recent activity, like emails, meetings, and chats. Since everyone’s work context is unique, answers may vary. 
    • Privacy and Security: Copilot follows strict privacy rules and does not use prompts or responses to train AI models. Differences in privacy settings can also impact results. 
    • Enterprise Data Protection: Copilot ensures data security under Microsoft’s standard protections, which may affect what information is retrieved.

  • What’s the difference between meeting summary and notes?

    A meeting summary is created after a meeting concludes, while meeting notes can be generated during a meeting. Both help capture key information but serve different timing needs.

  • How does agenda preparation with Copilot for Microsoft 365 work?

    You can ask Copilot to create an agenda based on your style preferences. It can learn your preferred format and maintain consistency.

  • Can Copilot email an agenda after creating it?

    Yes. Copilot can send emails on your behalf, including meeting agendas you’ve created. 

  • Can Copilot handle detailed formatting of Word and PowerPoint documents?

    Yes. Copilot can assist with formatting documents, including changing fonts, font sizes, adding bullet points, and other formatting elements.

  • Can I use Microsoft Copilot if I prefer using Zoom instead of Microsoft Teams? 

    Yes. There is currently no existing integration between Zoom and Copilot. However, the best way to leverage Copilot features with Zoom is to get a transcription of the Zoom meeting and then use Copilot to perform various activities such as summarize key points, create follow-up material, or search and reference specific content.

  • How can I collaborate with Zoom meeting participants using Copilot? 

    While you won't have real-time Copilot integration in Zoom meetings, you can:  

    • Use Copilot in Microsoft 365 apps to prepare presentation materials before meetings.
    • Generate meeting agendas and summaries in Word with Copilot.
    • Create meeting notes in OneNote with Copilot assistance.
    • Share Copilot-generated content via screen sharing in Zoom.
    • Collaborate on Copilot-enhanced documents through SharePoint while on Zoom calls.

  • Can Copilot help me prepare for Zoom meetings? 

    Yes. With Copilot, you can:  

    • Ask Copilot to draft meeting agendas in Word.
    • Use Copilot to create PowerPoint presentations for your Zoom meetings.
    • Have Copilot analyze data in Excel that you'll present during calls.
    • Ask Copilot to summarize emails or documents relevant to upcoming meetings.
    • Request talking points or discussion prompts for your Zoom session.

  • How can I use Copilot during Zoom meetings? 

    During Zoom meetings, you can:  

    • Open the Copilot web app or Windows Copilot sidebar to get quick information.
    • Use Copilot in OneNote to take enhanced meeting notes.
    • Ask Copilot to draft responses to questions that arise during meetings.
    • Use Copilot to search for and summarize information needed in real-time.
    • Generate ideas or solutions to problems discussed in the meeting.

  • Can Copilot help me with follow-up tasks after Zoom meetings? 

    Yes. Copilot is excellent for post-meeting tasks:  

    • Ask Copilot to summarize your meeting notes.
    • Generate action item lists based on meeting notes.
    • Draft follow-up emails to meeting participants using Copilot in Outlook.
    • Create reports or documentation about meeting outcomes.
    • Analyze meeting-related data or feedback.

  • What are the limitations of using Copilot with Zoom instead of Teams?

    The main limitations include:  

    • No automatic meeting transcription and summarization (as available in Teams).
    • No real-time Copilot assistance during Zoom calls.
    • No integrated Copilot chat within the meeting platform.
    • No automatic action item extraction from Zoom meetings.
    • No seamless document collaboration with Copilot within the meeting interface.

  • Can Copilot write code statements for programming languages like Python and SQL?

    Yes, Copilot can assist in writing code statements for various programming languages, including, but not limited to, Python, SQL, JavaScript, Java, Ruby, Go, PHP, C++, C#, and Swift. It also supports frameworks like React, Angular, Vue.js, Node.js, Django, Flask, and Ruby on Rails. This versatility allows developers to work across different tech stacks and receive AI-powered code suggestions, auto-completion, and debugging assistance.

  • How does GitHub fit into Copilot's functionality?

    GitHub Copilot integrates seamlessly with leading editors such as Visual Studio Code, Visual Studio, JetBrains IDEs, and Neovim. This integration enhances productivity by providing code suggestions, auto-completion, and generating code snippets directly within these environments. GitHub Copilot also allows developers to interact with external tools and services through Copilot Extensions, expanding its capabilities even further. Whether you are debugging, deploying, or exploring your codebase, GitHub Copilot acts as your AI-powered teammate, helping you build faster and more efficiently.

  • Can Copilot write or modify scripts for computational analysis?

    Yes. While Copilot can attempt to help with Python scripts, GitHub Copilot might be better suited for extensive programming assistance.

  • Can Copilot create mail merge?

    Yes. Copilot can assist with creating mail merges, helping to personalize and automate email communications to multiple recipients.

  • What model does Copilot use and are there any limits on number and length of conversations or file uploads?  

    Copilot for Microsoft 365 uses large language models (LLMs) like GPT-4, which are designed to understand, summarize, predict, and generate content.  

    • Conversation Limits: There are no specific limits on the number of conversations you can have with Copilot. 
    • File Upload Limits: The file upload limit is 10 MB per file, with a total daily upload limit of 2 GB.
